Car Buddy

Welcome to Car Buddy’s website (http://www.carbuddy.is). By accessing and using this website, you agree to be bound by the following terms and conditions. If you do not agree with any part of these terms, please do not use our website or services.

Car Buddy is a fully licensed travel operator in Iceland. We are insured through the Icelandic Tourist Board, ensuring that our customers are fully protected when booking with us.

General Terms

  • Users must be at least 18 years old to book a transfer.
  • All bookings are subject to availability.
  • Users agree to provide accurate and complete information during the booking process.

Bookings

All bookings must be made in writing via email at contact@carbuddy.is, through our contact form, or directly on our website at www.carbuddy.is. Bookings are only confirmed once Car Buddy provides written confirmation.

Please ensure that all details are accurate and complete, including:

  • Each traveler’s name
  • Flight information whether a transfer service from Keflavík Airport or Reykjavik domestic airport is required
  • Any specific needs or additional services requested

By completing a reservation through our website, you acknowledge and agree to have read, understood, and accepted these terms and conditions. Car Buddy is not liable for any errors made during the booking process.

Payment

Prices and Currency

All prices for services are listed in Icelandic Krona (ISK). Car Buddy is not responsible for any currency fluctuations or additional fees imposed by financial institutions, such as bank transfer fees or credit card processing fees.

Payment Delay

If payment is not received by the due date, Car Buddy reserves the right to treat the non-payment as a cancellation and withdraw the confirmation of services. A grace period may be granted at Car Buddy’s discretion, but it must be requested at least 48 hours before the payment due date, with valid reasons provided for the request. Car Buddy must confirm the grace period in writing for it to apply.

Payment Terms by Service Type

Transfers

  • Full payment is required at the time of booking.
  • Accepted payment methods: Credit cards / debit cards

Day Tours

  • A 20% deposit is required when booking a day tour.
  • Accepted payment methods: Credit cards / debit cards

Liability

Car Buddy is not responsible for any inaccuracies, delays, or issues caused by incomplete or incorrect booking information provided by the client.

Governing Law

These terms and conditions are governed by the laws of Iceland.

Cancellation Policy

Transfer Cancellations

You may cancel a booked transfer anytime by contacting Car Buddy via phone or email (contact@carbuddy.is). The refund policy for transfers is as follows:

  • If you cancel more than 24 hours prior to the scheduled start time, you will receive a refund of 80% of the amount paid, with a 20% cancellation fee retained by Car Buddy.
  • Cancellations made less than 24 hours before the tour start time are considered „last-minute” and are non-refundable, resulting in a 100% cancellation fee.

Day Tour Cancellations

If you need to cancel a day tour booked with Car Buddy, refunds will be issued based on the notice period provided, as outlined below:

Cancellations made with 24 hours’ notice or less are non-refundable. All cancellations must be submitted in writing via email to Car Buddy and must be confirmed by Car Buddy in order to be valid. In line with standard practices in Iceland’s travel industry, Car Buddy reserves the right to charge cancellation fees based on the total package price.

Private Customized Tour Cancellations

A private customized tour is meant to be intended as a private tour which itinerary has been customized and differs from the standard Car Buddy tour advertised on the website.

If you need to cancel a day tour booked with Car Buddy, refunds will be issued based on the notice period provided, as outlined below:

Cancellations made with 72 hours notice or less are non-refundable. All cancellations must be submitted in writing via email to Car Buddy and must be confirmed by Car Buddy in order to be valid. In line with standard practices in Iceland’s travel industry, Car Buddy reserves the right to charge cancellation fees based on the total package price.

 

If Car Buddy cancels any type of transfer, day tour or private customized tour or activity, you have two options:

  1. Reschedule: Select another tour or activity operated by Car Buddy.
  2. Refund: Receive a refund of the tour price, excluding non-refundable card fees of 3%.

Currency Exchange Disclaimer

Car Buddy is not responsible for any fluctuations in currency exchange rates that may occur between the time of booking and the time of refund processing.

Traveler Change Request Policy

You can change booking details up to 12 hours before pickup by contacting the Company. Fare changes will be communicated and must be confirmed by payment. If the new fare is less, a partial refund will be given. No changes are allowed within 12 hours of pickup; you may either proceed with the original booking or cancel as per the cancellation policy.

Complimentary Waiting Time

Car Buddy driver will wait for:

  • 60 mins at airports
  • 30 mins at ports or bus stations
  • 20 mins for hotels and other pick up locations

Waiting time starts from the scheduled pickup time. For delayed flights/ships, the new arrival time will be considered, with a maximum delay allowance of 8 hours. If delayed beyond 8 hours, the Transfer is canceled, and a full refund is issued.

Extra Waiting Time

You can request extra waiting time in advance or during the complimentary waiting period. If agreed, an extra fee applies:

  • EUR 6.00/15 mins for Sedan
  • EUR 9.00/15 mins for Minivan
  • EUR 12.00/15 mins for Minibus

Payment must be confirmed before the additional waiting time begins.

Traveller No-Show Policy

A „No-Show” occurs when you fail to appear at the pickup location by the end of the complimentary or extra waiting time. No refunds are issued in these cases, and any agreed extra waiting time must be paid.

Efforts will be made to contact you, and if unsuccessful by the end of the waiting time, the Driver will be released. You have 24 hours to dispute a No-Show.

Driver No-Show Policy

The Driver must be at the pickup location by the scheduled time. If delayed by up to 10 minutes, they will contact you. For delays over 10 minutes, the Company will notify you.

Baggage Allowance

Luggage includes a medium-large backpack or standard suitcase (max. 100L). Extra items (e.g., strollers, sports equipment) must be declared during booking. If you bring more luggage or passengers than declared, the Driver may only accommodate the declared amount or assist you in finding alternate transportation.

Extraordinary Events and Unforeseen Circumstances

Car Buddy reserves the right to modify routes, itineraries, or departure times without prior notice if necessary due to weather conditions or other events outside of its control. This includes but is not limited to acts of nature, unforeseen road conditions, and other factors that may impact the safety and feasibility of the trip.

Please be aware that any changes to flight schedules are the sole responsibility of the passenger, and any additional costs incurred due to such changes (e.g., hotel stays, meals, or transfers) must be covered by the passenger.

In the rare event that your tour is canceled due to unavoidable and extraordinary circumstances in Iceland, such as natural disasters, warfare, significant health risks, or other safety concerns, a full refund will be issued in accordance with the EU Package Travel Directive.

Travel Insurance

Please note that travel insurance is not included in the tour / transfer price. We strongly recommend that you purchase comprehensive travel insurance before departure. This will help cover unexpected costs such as medical expenses, cancellation fees, and emergency evacuations.

  1. Travel insurance is not included in the quoted prices.
  2. We recommend all clients obtain travel insurance that covers medical costs, cancellations, and other contingencies.
  3. In the event of a medical emergency requiring evacuation or repatriation, all associated costs will be the responsibility of the client.
  4. All personal belongings, including luggage and equipment, are the sole responsibility of the traveler. Car Buddy is not liable for any loss, theft, or damage to personal items during the tour.

Public Holidays

Please note that a 100% surcharge will apply to Car Buddy staff and tour guides on the following public holidays in Iceland:

  • New Year’s Day (1 January)
  • Good Friday
  • Easter Sunday
  • Whit Sunday
  • Iceland Independence Day (17 June)
  • Commerce Day (first Monday in August)
  • Christmas Eve (after 12:00 on 24 December)
  • Christmas Day (25 December)
  • New Year’s Eve (after 12:00 on 31 December)

Special rates may apply during major cultural events in Reykjavík, and these will be reflected in the Budget Overview.

Liability

Car Buddy is not responsible for any loss, damage, accident, sickness, injury, illness, death, or changes to schedules resulting from causes beyond our control. These include but are not limited to acts of nature, labor disputes, pandemics, or other irregularities. In the event of any flight changes (domestic or international), passengers are responsible for covering any additional costs incurred. We strongly advise all travelers to secure comprehensive travel insurance to cover any unforeseen circumstances.

These terms and conditions are governed by the laws of Iceland.
